Job Description

Position Title: QA Administrator

Wage: $20.00/hour

Shift: 1st

Hours: 8:00am-4:30pm Monday-Friday

We're looking for a Quality Assurance Administrator to support our Quality team in a fast-paced manufacturing environment producing natural ingredients. QA Administrator Responsibilities include but are not limited to:
- Provide administrative support to the Quality Assurance department in a food manufacturing environment specializing in natural food color ingredients
- Maintain quality records, documentation, and controlled files to ensure compliance with company procedures and regulatory requirements
- Support food safety and quality initiatives by assisting with documentation, reporting, and cross-functional communication
- Work collaboratively with production, quality, purchasing, and suppliers to ensure accurate and timely completion of quality-related tasks
- Perform additional administrative and quality support duties as assigned
- Maintain and organize quality documentation, records, specifications, and document control systems
- Review Certificates of Analysis (COAs) for accuracy and completeness
- Complete customer and supplier questionnaires and assist with documentation requests
- Communicate with suppliers to obtain required certifications, specifications, and quality documentation while maintaining accurate records
- Generate reports, track quality metrics, and analyze data using Microsoft Excel, including formulas, trending, and reporting functions
- Assist with maintaining data within ERP and Quality Management Systems (QMS)
- Monitor documentation to ensure compliance with company standards and regulatory requirements
- Conduct routine walks through the production facility to identify potential food safety or quality concerns and initiate work orders or corrective actions when necessary
- Assist with internal audits, inspections, and quality improvement initiatives
- Support the Quality Assurance team with investigations, corrective actions, and continuous improvement projects
- Prioritize multiple assignments while meeting deadlines in a fast-paced manufacturing environment
- Collaborate with production, operations, and other departments to promote a culture of quality and food safety

QA Administrator Requirements:
- Ability to work in both an office and food manufacturing environment
- Frequent sitting, standing, walking, and computer use throughout the workday
- Ability to walk production areas and manufacturing floors for inspections and quality observations
- Occasionally lift and carry up to 25 pounds
- Must be able to wear required personal protective equipment (PPE) while in production areas
- Ability to distinguish colors and visually inspect documentation, labels, and production processes
- Previous experience in quality assurance, food manufacturing, laboratory operations, or another regulated industry is preferred
- Strong organizational skills with exceptional attention to detail and the ability to take ownership of assigned responsibilities
- Proficiency with Microsoft Office Suite, particularly Microsoft Excel, including formulas, data analysis, and reporting
- Experience with ERP systems and Quality Management Systems (QMS) is preferred
- Excellent written and verbal communication skills with the ability to work effectively across multiple departments
- Ability to manage multiple priorities while maintaining accuracy in a fast-paced manufacturing environment
- Knowledge of Good Manufacturing Practices (GMPs), HACCP, food safety programs, or quality systems is a plus but not required
